Creating and managing scenario templates

Templates give your authors a consistent starting point when creating scenarios, instead of writing every field from scratch. A template is a complete scenario - instructions, script, checklist, questions, resources, voices and settings - saved as a reusable starting point. Templates are available to all content creators (owners, administrators and authors) on every plan.

What is a template?

A template is a full scenario flagged as a reusable starting point. Unlike a normal scenario, a template:

  • Never appears to learners and cannot be published or started
  • Doesn't count towards your plan's scenario limit
  • Lives in its own Templates area under Scenarios in the sidebar

When an author creates a scenario from a template, they get a fresh draft with everything prefilled - title, description, user instructions, script, checklist, questions, resources, AI behaviour, voices, avatars and settings - ready to adapt and publish.

Templates are starting points, not fixed content - the new draft is completely independent, so editing it never changes the template.

Saving a scenario as a template

The easiest way to create a template is from a scenario you're already happy with:

  1. Open the scenario in the editor
  2. Select Save as template in the header
  3. A copy is saved to your Templates area, named after the scenario with "(Template)" appended

Any unsaved changes are saved first, so the template captures exactly what you see. The original scenario is unaffected.

Creating a scenario from a template

When your organisation has templates, the Create scenario menu shows a Start from a template option. Choosing a template creates a new draft scenario with every field prefilled and opens it in the editor. The draft is a normal scenario: adapt it, then publish as usual.

You can also select Use template next to any template in the Templates area.

Managing templates

Open Scenarios → Templates in the sidebar to see your organisation's templates. From there you can:

  • Use template - create a new draft scenario from it
  • Edit - opens the same editor used for scenarios; changes apply to future scenarios created from the template
  • Delete - removes the template; scenarios already created from it are not affected

Copying scenarios

If you want a one-off duplicate rather than a reusable starting point, use Copy instead - available on each scenario in the scenario list and in the editor header. Copying creates an independent draft named "(Copy)" with all content carried across, excluding learner activity such as conversations and results.

Suggested workflow

  1. Build one scenario per format you use regularly (e.g. history taking, counselling) and polish it
  2. Select Save as template on each one
  3. Point authors at Create scenario → Start from a template for the fastest route to a consistent draft
  4. When your standards change, edit the template once - every future scenario starts from the updated version
