Removing users from your organisation

SimChat allows you to manage users by deactivating or permanently deleting accounts.


Deactivating users


Deactivation removes a user's access to your organisation without deleting their data. Deactivated users:


  • Cannot log in or use any scenarios
  • Keep all their data, so they can be reactivated at any time


Deactivation and your user count


How deactivation affects your user count depends on your plan:


  • Starter and Team. A learner licence is released at your next renewal, not straight away. Until then, a deactivated learner still counts towards your user limit.
  • Enterprise. User licences are set by your contract. On rolling per-licence contracts, each learner's licence is tied to them for the length of their access window and is not released by deactivating them. Contact us or your account manager if you need to adjust your licences.


How to deactivate users


  1. Go to Users in the left sidebar
  2. Choose the Deactivate user button


You can also deactivate multiple users at once by using the bulk selection tools on the Users page.

Deleting users


Deletion is permanent. Once deleted:


  • All associated learner data is removed
  • The user cannot be restored
  • You will need to invite them again if they rejoin in the future


Only delete users when you are sure their data is no longer required.


How to delete users


  1. Go to Users in the left sidebar
  2. Locate the user you previously deactivated
  3. Select the red Delete button


Deleting or reactivating a user


Deleting is only available for users who are already deactivated. You can also reactivate a user with the green Reactivate button.
