Removing users from your organisation

There are two ways to take someone's access away: deactivate them, which is reversible, or remove them from the organisation, which is not.


Both are done from Users in the sidebar. Removing a staff member works slightly differently and is covered at the end.


Deactivating users


Deactivation takes away a user's access to your organisation without losing anything. Deactivated users:


  • Cannot sign in or run any scenarios
  • Keep all their data, so they can be reactivated at any time


This is the right choice for learners who have finished a course, students between placements, or anyone whose records you might need later.


How to deactivate


  1. Go to Users in the sidebar
  2. Select the Deactivate user button on their row, and confirm


You can also deactivate several people at once using the checkboxes and the Deactivate users button at the top of the list.

Deactivation and your user count


How deactivation affects your user count depends on your plan:


  • Starter and Team - a learner licence is released at your next renewal, not straight away. Until then, a deactivated learner still counts towards your user limit
  • Enterprise - user licences are set by your contract. On rolling per-licence contracts, each learner's licence is tied to them for the length of their access window and is not released by deactivating them. Contact us or your account manager if you need to adjust your licences


Removing users from the organisation


Removing is permanent. It takes the person out of your organisation along with the conversations they ran here.


What it does not do is delete their SimChat account. Their account stays active, and any access they have to other organisations is unaffected. If they rejoin later you invite them again, but their previous activity in your organisation will be gone.


How to remove someone


  1. Go to Users in the sidebar
  2. Find the user - they must be deactivated first
  3. Select Remove user from organisation, then Yes, remove


The confirmation tells you how many conversations will go with them. This cannot be undone.


Removing or reactivating a user


Only remove someone once you are certain their records are no longer needed. If you might want the transcripts for assessment or audit purposes, deactivate them instead, or export the data first.


Reactivating instead


If someone was deactivated by mistake, or is coming back, use the green Reactivate button on their row. Everything returns as it was.


Removing staff members


Staff are managed separately, under Staff in the sidebar. Select the remove button on their row and confirm Yes, remove staff member.


There is no deactivate step for staff - removal is a single action, and it frees up the staff seat. Any scenarios and collections they created stay in your organisation.
